Events Coordinator/Office Administrator
Permanent, part-time
Reporting to: Manager, MS Walks
The Multiple Sclerosis Society of Canada is an international leader in providing innovative services for people with MS and their families and advancing global research into the cause and cure of multiple sclerosis.
Reporting to the Manager, MS Walks, this position will be responsible for working with local chapter and volunteer committees to plan and execute a MS Walk within the South Central Chapter, Manitoba Division. The MS Walk is the MS Society’s largest fundraising event. Taking place in 9 communities across the province, it raises over $800,000 annually.
Key Areas of Responsibility:
- Develop and maintain relationships with all top fundraisers and team captains on a personal level and communicate with them on a regular basis
- Provide customer service for participants, Team Captains, sponsors, donors and volunteers
- Recruit the maximum number of participants at the MS Walk site (new and returning Walkers) by executing provincial strategies, acquiring new participants and teams, and reactivating past participants and teams
- Meet or exceed MS Walk revenue targets assigned in MS Walk site
- Place regular cold calls to community groups and businesses to recruit new Walkers and teams
- Create and execute local recruitment schedules and media plans
- Meet and build relationships with existing MS Walk volunteer planning committee and local MS Society chapter
- Recruit and train committee members to build a strong committee
- Initiate committee involvement in local recruitment and TeamMS initiatives as per guidance from Corporate and Community Development staff
- Host MS Walk kick-off event in all sites to bring awareness to the event
- Act as first contact for customers through phone/visit
- Maintain up-to-date supply inventory (office & event)
- Recruit & manage office volunteers as required
- Improve fundraising efficiency by recruiting more sponsors
- Encourage current sponsors to increase their level of involvement
- Recruit and coordinate local media and promotions
- Create a detailed logistics schedule and execute a safe and fun event
- Work with local volunteer coordinator to recruit and train MS Walk weekend volunteers and provide them with an updated job description and confirmation packages
- Source all necessary permits and insurance for start/finish location, checkpoints and the route
- Confirm all event weekend details (entertainment, deliveries etc.)
- Responsible for warehouse packing leading up to and after the MS Walk: sorting and dividing supplies, lifting and loading products
Qualifications and Experience:
- University Degree or Community College Diploma in a related field with administrative experience in a not-for-profit setting or the equivalent education and experience
- Experience in fundraising, special event planning and project management considered an asset
- Experience working with event volunteer committees, within a fundraising environment considered an asset
- Excellent verbal and written communication skills, including excellent email and phone manners
- Ability to work well and build successful working relationships with internal and external partners
- Ability to work in a fast paced, high pressure professional environment
- Confident, dynamic, and a results-oriented professional who can exercise strong judgment when balancing multiple priorities with overlapping deadlines
- Ability to work both independently and in a team setting
- Ability to maintain accurate, timely and complete documentation and electronic records for each event/program
- Strong computer skills with experience in Microsoft Office and an aptitude for database systems
- Strong customer service skills and stewardship experience
- Must be available to work the weekends of the MS Walk(s)
- Must possess a valid G class Driver’s License
Location:
Manitoba. Evening meetings, weekend work and physical event work are a large component of this position. Occasional travel may be required.
